How coaching institutes in Punjab can get more admissions online

In 30 seconds

  • Most institutes get enough enquiries. They lose them because the reply is slow or there is no follow-up.
  • Reply fast on WhatsApp. Even an auto-reply at night helps.
  • Write every enquiry in one Google Sheet.
  • Follow up 3 to 4 times, politely. Then run ads.

Who this is for: owners of coaching, IELTS, PTE, spoken English and skill-training institutes in Punjab.

Why students don't join

Think about how a student picks an institute today.

They search "IELTS coaching near me" on Google. They check two or three places. Then they send a WhatsApp message to more than one institute.

The institute that replies first, with clear timings and a free demo class, usually wins.

Students drop out at every step of this path. Here is where it usually goes wrong:

  • A message comes at 9 pm. Nobody sees it until the next day.
  • Enquiries sit in one person's phone. Nobody knows what happened to them.
  • The student says "I will think about it". Nobody calls back.
  • Your Google listing is old, or your website is hard to use on a phone.

The good news: you can fix all of this with free tools you already use, like WhatsApp Business and Google Sheets.

Step 1: Be easy to find on Google

Google Business Profile is your free listing on Google Maps and Google Search. People also call it GBP.

  1. Pick the right category. For example "Coaching center" or "Language school".
  2. Add correct timings and your WhatsApp number.
  3. Add real photos. Your classroom, reception and teachers at work.
  4. List each course as a service. One short line for each.
  5. Post when a new batch starts.

Your website

You don't need a big website. One page that works well on a phone is enough to start. It should answer:

  • Which courses do you teach?
  • What are the batch timings?
  • Is there a free demo class?
  • Where are you?
  • How do I contact you? (one big WhatsApp button)
Tip

If you don't show fees, say how to get them. For example: "Fees are shared on WhatsApp after your demo class."

Step 2: Reply within minutes

Fast replies are the easiest way to beat other institutes. Set up WhatsApp Business like this:

  • Greeting message for new chats
  • Away message with your office hours
  • Quick replies for fees, batches and location
  • Labels like "New", "Demo booked" and "Admitted"

Here is an example auto-reply for an IELTS centre in Ludhiana:

"Thanks for your message! Our IELTS evening batch runs 6 to 8 pm. Reply 1 for fees, or 2 to book a free demo class."

Also decide who replies. One person, or a small team with fixed turns. If everyone is responsible, nobody replies.

Step 3: Write every enquiry in one sheet

A CRM is simply a list of your leads (people who enquired) and what to do next. A free Google Sheet works well. Use these columns:

NameCourseCame fromStatusNext step
Student AIELTSInstagram adDemo bookedCall on Thursday
Student BPTEGoogle MapsNewReply today

Check the sheet every morning for 10 minutes. After a month, you will see which ads and pages bring students who actually join.

Step 4: Follow up, politely

Most students need a few reminders before they decide. Use a simple plan:

  1. Same day: send course details and invite them to a free demo.
  2. Day 2: a short call or voice note from your counsellor.
  3. Day 4: send something useful, like a band score tip.
  4. Before the batch starts: remind them of the start date.

Do

  • Be friendly and short
  • Answer their question first
  • Stop if they say no

Don't

  • Send 10 messages a day
  • Copy-paste long paragraphs
  • Promise a band score

Step 5: Run ads only after this works

Ads on Instagram, Facebook or Google can bring more enquiries. But if your replies are slow, ads just bring more students that you lose.

Common mistake

Spending on ads before fixing replies and follow-up. Fix Steps 1 to 4 first. Then start small: one course, one area, one offer like a free demo class.

Look at how many enquiries became admissions. That tells you if the ads are working.

Your 7-day action plan

DayWhat to do
Day 1Update your Google Business Profile: category, timings, phone.
Day 2Add 10 real photos of your institute.
Day 3Set up WhatsApp greeting, away message and quick replies.
Day 4Make your Google Sheet and add this week's enquiries.
Day 5Follow up with everyone who has not joined yet.
Day 6Check your website on a phone. Is the WhatsApp button easy to find?
Day 7Ask 3 happy students for an honest Google review.

Common questions

I have Instagram. Do I still need a website?

It helps. A simple website shows up on Google and answers parents' questions in one place. One good page is enough to start.

Should I show my fees online?

That is your choice. Many institutes share fees on WhatsApp after the demo class. Just tell students clearly how to get them.

How fast should we reply?

As fast as you can, ideally within a few minutes in office hours. At night, an auto-reply keeps the student interested.

Is Google Sheets really enough?

For most small institutes, yes. It is free and easy to share. You can move to a bigger system later.
