In 30 seconds

  • Your customers already message you on WhatsApp. Many messages come late or repeat the same questions.
  • Start with the free WhatsApp Business app: greeting, away message and quick replies.
  • A chatbot can answer common questions day and night. A person still handles prices and complaints.
  • Only message people who contacted you or agreed to hear from you.

Who this is for: small business owners in India: institutes, salons, clinics, cafes, gyms and shops.

What WhatsApp automation means

Automation means WhatsApp sends some replies for you, so you don't have to type the same thing again and again.

There are different levels:

  1. Free app features. Greeting messages, away messages, quick replies and labels.
  2. Menu replies. For example: "Reply 1 for timings, 2 to book."
  3. AI chatbot. Understands normal questions in English, Hindi or Hinglish and answers from your information.
  4. Connected system. Every enquiry is saved in a sheet, and reminders go out on time.

Levels 3 and 4 use the official WhatsApp Business Platform (also called the API). It is Meta's paid service for businesses, usually set up through an approved partner.

What it does well

  • Replies in seconds, even at night
  • Answers common questions: timings, location, services
  • Collects details so your team knows what the customer wants
  • Confirms bookings and sends reminders
  • Follows up politely with people who did not decide

What it should not do

A chatbot should never replace people completely. Keep a person in charge of:

  • Prices, discounts and custom quotes
  • Complaints and angry customers
  • Medical, legal or money advice
Tip

Always give an easy "Talk to a person" option. When the chat moves to your team, they should see the full conversation.

Examples for your business

These are simple examples, not real clients.

IELTS centre in Ludhiana

Sends batch timings, books free demo classes and reminds students before the batch starts.

Salon in Model Town

Shares the service menu, offers free slots and sends a reminder the evening before.

Clinic in Jalandhar

Takes appointment requests and sends reminders. Medical questions go to the staff.

For institutes, also read how to get more admissions online.

WhatsApp rules you must follow

WhatsApp is strict about spam. Following the rules keeps your number safe.

Do

  • Message only people who contacted you or said yes
  • Use approved message templates on the Platform
  • Let people stop messages easily

Don't

  • Use "bulk sender" apps
  • Buy phone number lists
  • Collect data you don't need
Common mistake

Sending offers to every number in your phone. Your number can get blocked.

How to write good replies

  • Keep it to 2 or 3 short lines
  • Answer the question first, then give one next step
  • Write the way your customers write, even Hinglish
  • Give 2 or 3 choices, not a long menu
"Hi! We are open 10 am to 8 pm. Reply 1 to book a slot, or 2 to talk to our team."

What it costs to run

The WhatsApp Business app is free. The Business Platform has costs: Meta charges per message type, and partners usually add a monthly fee. Ask for a clear monthly estimate before you start. See our pricing page for our setup.

Questions to ask before you pay anyone

If you hire someone to set this up, ask these simple questions first:

  1. Is it the official WhatsApp Business Platform? Unofficial tools can get your number blocked.
  2. Can my team take over any chat at once?
  3. Where are my leads saved? Can I download them anytime?
  4. Who updates the answers when my timings or services change?
  5. What is the full monthly cost? Ask for Meta's charges and the partner fee.
Tip

Start small. First fix your quick replies and labels. Add a chatbot only when you get too many messages to handle.

We set up and look after WhatsApp auto-replies, chatbots and lead sheets for local businesses. See our AI Services page.

Common questions

Do I need the paid WhatsApp API?

Not to start. The free app has greeting messages, away messages and quick replies. You need the paid Platform for chatbots and many team members.

Can a chatbot reply in Hindi or Punjabi?

Yes, modern AI can reply in Hindi, Hinglish and mostly in Punjabi. Test it with real questions and keep a person ready.

Will customers feel they are talking to a robot?

Not if replies are short and friendly, and a person joins quickly when needed.

Can I send offers to all my contacts?

Only to people who agreed. Sending to everyone can get your number blocked.
